Attendance system — time tracking without Excel

An attendance system is software for tracking employees' working time. It replaces paper timesheets, Excel spreadsheets and manual processing — and ensures that the company has accurate data for calculating wages, overtime and leave.

Definition

An attendance system records arrivals, departures, breaks and absences of employees and processes this data into overviews usable for payroll accounting. Modern systems work without physical terminals — employees record attendance via a mobile app or web browser, and managers approve records online.

What an attendance system should be able to do:

  • Recording of arrivals, departures and breaks
  • Management of leave and absences
  • Overtime — recording, approval, payment or time off in lieu
  • Data export for payroll accounting (Pohoda, Money S4, KS-mzdy)
  • Overviews for managers and leadership
  • Mobile access for employees

Why records matter

Clear time tracking helps you calculate wages and overtime, and legislation typically expects it too. The specific obligations differ by country and may change over time — we recommend verifying the current rules for your situation with an accountant or lawyer. An electronic system ensures that you have the records on hand at any time and in a consistent form.

lightbulb In practice

A company with three branches collects attendance from three different Excel files, which HR manually consolidates every month before the payroll cut-off. The process takes 2 days and contains errors. An attendance system connected to payroll software processes the data automatically — HR only checks the exceptions and approves the export.
