HRIS — what it is and what it is for

HRIS stands for Human Resource Information System — a software system that centralizes the management of HR data and processes in one place. If your company still manages employees through Excel and emails, HRIS is exactly what you are looking for.

Definition

HRIS (Human Resource Information System) is software that allows companies to record, manage and automate key HR processes — employee records, attendance, onboarding, document management and reports for leadership. Modern HRIS systems replace the combination of Excel, shared folders and email threads that stops being sufficient once a company exceeds roughly 20–30 employees.

The difference between HRIS, HRMS and HCM

The terms are often confused. HRIS is the foundation — records and administration. HRMS (Human Resource Management System) adds a layer of process management. HCM (Human Capital Management) also includes strategic workforce planning. For most companies up to 250 employees, a full-fledged HRIS is a sufficient solution.

lightbulb In practice

A company with 45 employees handles onboarding of new people through a shared Google Doc and emails. The HR manager spends 2 days every month manually downloading attendance and preparing documents for the accountant. After implementing an HRIS, these processes run automatically — a new employee starting triggers a checklist of tasks, attendance is processed on its own, and contracts are created from prepared templates.
