Employee onboarding — what it involves and how not to mess it up

Employee onboarding is the process by which a company guides a new person from signing the contract to the point where they are fully functioning in their role. Well-handled onboarding determines whether a new employee stays — or leaves in the first months.

Definition

Onboarding (sometimes called the "adaptation process") includes everything a company does to help a new employee understand their role as quickly as possible, get to know the team, obtain the necessary tools and access, and start contributing to the company's results. It ideally begins even before the first working day (pre-boarding) and usually lasts 30–90 days.

Phases of onboarding

Pre-boarding (before starting): Signing the contract, sending information about the first day, preparing access and equipment, a welcome email from the manager.

Day 1: Welcome, introduction to the team, handover of equipment, introductory training (health & safety, fire safety, internal rules), the first 1:1 with the manager.

First 30 days: Training on processes and tools, getting to know the company and culture, first assigned tasks, regular check-ins with the manager.

30–90 days: Full productivity, a review meeting at the end of the probationary period, feedback in both directions.

The most common onboarding mistakes

  • Access and equipment are not ready on the starting day
  • No structure — the new person does not know what to do
  • Onboarding is purely administrative (contracts, training) without a human dimension
  • There is no follow-up after the first 30 days

A company hires a senior developer. The laptop arrives on the third day, system access is set up gradually over two weeks, and nobody systematically introduces them to the processes. After three months the developer leaves — the onboarding left an impression of unprofessionalism and chaos.
