Time tracking — how to do it efficiently

Clear time tracking is the foundation for the correct calculation of wages, overtime and leave — and it is usually also expected by legislation. How to do it efficiently, without paper and manual re-typing?

Definition

Time tracking is the systematic recording of the hours worked by each employee — including breaks, overtime, weekend work and night work. It serves as the basis for wages as well as a clear record of when and how much work was done in the company.

What records typically contain:

  • Start and end of the shift
  • Breaks at work
  • Overtime work
  • Work at night, on weekends and holidays
  • On-call duty

What to keep in mind

The scope and form of records are governed by legislation, which differs by country and may change over time — verify the specific requirements for your situation with an accountant or lawyer. From a practical point of view, the key is to keep records consistent, traceable and easy to export. That is exactly what an electronic system helps with the most.

lightbulb In practice

A company with three branches collects attendance from three different Excel files, which HR manually consolidates every month. When it needs to provide an overview of hours worked for the past year, the search takes days. An electronic attendance system keeps the data automatically and exports it with a single click.
