HR automation — what can and cannot be automated

HR automation is a process in which a company replaces manual, recurring HR tasks with software tools. The result is less manual work, fewer errors and more time for strategic HR.

Definition

HR automation uses software so that routine HR tasks — such as triggering onboarding checklists, sending reminders about the probationary period, exporting attendance or generating standard documents — are done automatically without the intervention of an HR manager.

Most commonly automated HR processes:

  • Onboarding: triggering a checklist of tasks when a new employee starts
  • Offboarding: triggering the process of removing access and handing over the agenda
  • Attendance: processing data and exporting for payroll accounting
  • Alerts: end of the probationary period, an approaching expiry of an employment contract
  • Documents: generating contracts, amendments and confirmations from templates
  • Reporting: automatically compiling overviews without manually downloading data

The limits of automation

Automation works best with predictable, recurring processes. Complex situations — a conflict in the team, a difficult termination, an unusual employment-law case — still require human judgment.

When a new employee starts, the following is triggered automatically: a task for IT (set up access), a task for the manager (prepare a 1:1 plan), a reminder 30 days after starting (check-in), a reminder 14 days before the end of the probationary period (review meeting).
