Onboarding system — what it is and how it works

An onboarding system is software or a part of an HR platform that automates and structures the process of bringing new employees on board. A properly set up onboarding shortens the time it takes for a new person to start delivering value.

Definition

An onboarding system ensures that every new employee goes through a structured starting process — from signing the contract through setting up access and training to the first review meeting. Instead of manually coordinating emails and tasks, the system automatically triggers a checklist of activities for HR, the manager and the employee themselves.

Typical features of an onboarding system:

  • Automatic triggering of a checklist of tasks on starting
  • Assignment of a buddy / mentor
  • Management of documents and contracts to sign
  • Tracking of onboarding progress (who completed what)
  • Notifications for HR and managers in case of delay

Why onboarding matters

Some new employees leave within their first few weeks, and poor onboarding plays a large part in it. Structured onboarding increases retention and shortens the time it takes for a new employee to reach full productivity (so-called time-to-productivity).
